1. Who we are and what this policy covers
Business Bot Buddy operates from Queensland, Australia under ABN 23 814 229 089. In this policy, “Business Bot Buddy”, “we”, “us” and “our” refer to the operator of the Business Bot Buddy website, future mobile applications and supplied automation services.
This policy applies to businessbotbuddy.app, forms and client services provided through that domain, and any official Business Bot Buddy iOS or Android app when released. It does not apply to third-party services that publish their own privacy policies.
2. Information we collect
Depending on how you use the service, we may collect:
- Contact and business details, including your name, business name, email address, phone number, industry and business size.
- Audit and enquiry details, including your website, repetitive tasks, desired results, preferred contact method and consent record.
- Feedback, ratings and any permission you give to use feedback as a testimonial.
- Account and organisation information when independent client accounts are made available.
- Workflow, lead, task, booking, support and communication information provided while delivering an agreed service.
- Basic website activity, including a randomly generated session identifier, pages viewed, link clicks, referral type, scroll depth and page-exit events.
- Chat messages and information you choose to submit through the BubblaV chat widget.
- A one-way hash derived from the network address used to submit the audit form, for rate limiting and spam prevention.
Whop and its payment providers process checkout, payment and subscription information. Business Bot Buddy does not intentionally collect or store full payment card numbers.
3. How we collect information
We collect information directly when you complete a form, contact us, provide feedback, purchase or use a service, or supply information for an approved workflow. We also collect limited technical and usage information automatically when the website is used. If a customer asks us to process information about its own customers, staff or contacts, that customer must have the authority and required notices or consents to provide it.
4. Why we use information
- Respond to enquiries and provide requested automation audits.
- Scope, configure, test, support and improve purchased services.
- Manage accounts, organisations, leads, tasks, bookings and support.
- Process and reconcile purchases and subscriptions handled by Whop.
- Measure website use, diagnose problems, prevent abuse and protect the service.
- Send service messages and, where appropriate consent exists, related marketing communications.
- Meet legal, tax, record-keeping, fraud-prevention and regulatory obligations.
5. AI and automated processing
Information submitted to an AI-enabled service may be processed to generate replies, summaries, drafts, classifications or proposed workflow actions. AI output may be inaccurate and should be reviewed before it is relied on or sent to another person.
The public BubblaV chat widget is an optional third-party chat service. Do not submit payment card details, government identifiers, health information or other sensitive information through the chat widget unless Business Bot Buddy has specifically asked for it through an appropriate secure channel.
The public interactive preview is a simulation. It does not send messages, create customer records or make bookings. Business Bot Buddy will update this policy and provide any required notice before enabling a computer program to use personal information for a decision that could significantly affect a person’s rights or interests.
7. Overseas processing
Technology and payment providers may store or process information outside Australia. The countries involved can depend on the provider, its infrastructure and the customer’s selected integrations. We will update this policy with practical location information when additional providers are enabled, and will take reasonable steps appropriate to the services used.
8. Marketing consent and unsubscribe
We may send the requested audit and related follow-up where you have actively consented. Marketing email or SMS must identify Business Bot Buddy and provide a functional way to unsubscribe. You can withdraw consent at any time by using the unsubscribe method in the message or contacting us. Service, billing and security messages may still be sent where necessary to administer an active service.
9. Security and retention
We use reasonable technical and organisational safeguards appropriate to the information and services actually enabled. The independent client portal will not be opened until authentication and organisation separation have been tested. No online service can guarantee absolute security.
We retain information only for as long as reasonably needed to deliver services, administer accounts, resolve disputes, prevent fraud and meet legal or tax obligations. Information that is no longer required will be deleted or de-identified where reasonably practicable. Backup copies may remain for a limited period before being overwritten.
10. Access, correction and deletion
You may ask to access or correct personal information we hold about you, withdraw consent where applicable, or request deletion of information that is no longer required. We may need to verify your identity and may retain limited records where required for legal, security, fraud-prevention, tax or dispute purposes.
When client accounts are enabled, account deletion will be available through the app and through the public Account Deletion page. Deleting a Business Bot Buddy account does not automatically cancel a Whop subscription; billing must also be cancelled through Whop or by contacting us.
11. Mobile app permissions
The current website does not request native mobile-device permissions. Before an official app requests access to notifications, camera, photos, contacts, location, microphone or other device features, the app will explain why access is requested and this policy will be updated to match the released app. Permission can be refused or withdrawn through device settings, although a related feature may then be unavailable.
13. Privacy questions and complaints
Contact info@businessbotbuddy.app with the subject “Privacy” if you have a question or complaint. Please describe the issue and the outcome you seek. We will investigate and respond within a reasonable period. If the Privacy Act 1988 (Cth) applies and you remain dissatisfied, you may be able to complain to the Office of the Australian Information Commissioner at oaic.gov.au.
14. Children and policy updates
Business Bot Buddy is a business service and is not directed to children. We may update this policy when our information practices, providers, products or legal obligations change. Material changes will be published on this page with a revised effective date and, where appropriate, communicated through the service.
